Planning & Booking

3 questions

We recommend booking 2–4 weeks ahead for weekend slots and 1–2 weeks for weekday daytime programming. Summer camp season (June–August) and spring/fall retreat weekends fill up fast — larger groups should book 4–6 weeks out when possible.

Our standard youth group packages start at 10 students (minimum billing) and scale up to 25 for our 2.5-hour package. For bigger groups — school field trips, summer camps, large church programs — our Weekday Group Rate can accommodate 50+ students with rotations. Contact us for a custom quote.

Comfortable, closed-toe shoes (no open sandals or flip-flops) and clothes students can move around in. Avoid long, loose dresses or anything that could trip a player in the VR arena. Hats, hoodies, and glasses are all fine — our headsets fit over most prescription glasses. Avoid heavy makeup or thick hair gel since the headsets touch players' foreheads.

Safety & Supervision

Our VR experiences are designed for ages 8 and up. Younger kids may not fit the headsets safely or tolerate the virtual environment. For mixed-age groups, kids under 8 are welcome in the lobby but can't play VR. Ages 8–12 do great with our family-friendly games, and teens 13–17 unlock the full library including escape rooms and action experiences.

We recommend a minimum of 1 adult leader per 10 students (1:10 ratio), matching most national youth group, scout, and camp standards. Chaperones stay on-site for the entire session — they're welcome to watch the VR monitors, hang out in the lobby, or jump into the games themselves. There's no extra charge for chaperones who aren't playing.

Every arena has padded floors, soft-boundary walls, and guardian zones that warn players when they get close to edges. Our hosts actively monitor every group, sanitize headsets between uses, and are trained to pause gameplay if anyone gets motion sick or uncomfortable. We also do a safety briefing before every session so students know what to expect.

Yes. Every player under 18 needs a waiver signed by a parent or legal guardian. We send a digital waiver link to your group organizer 1–2 weeks before the event, and you forward it to parents. This is much faster than paper waivers on the day of the event and ensures everyone is ready to play when they arrive.

Our Weekday Group Rate offers reduced per-student pricing for 501(c)(3) nonprofits, church youth programs, public and private schools, scout troops, YMCA, Boys & Girls Clubs, and after-school programs. Absolutely. We regularly accept purchase orders from schools and churches, invoices for nonprofit organizations, and checks on the day of the event. Credit cards and digital payments (Zelle, ACH) are also accepted. Just let us know your organization's preferred payment method when booking and we'll send the appropriate paperwork.

Food, Parking & Logistics

Yes. Our parking lot accommodates passenger vans, 15-seat church vans, and most shuttle buses. Full-size school buses can drop off students at the curb in front of our building and park in nearby overflow lots — let us know in advance if you're bringing a full bus and we'll confirm the best parking arrangement.

Our lobby, restrooms, and one of our VR arenas are wheelchair accessible. VR itself works well for many students with mobility, sensory, or learning differences, but experiences vary — please reach out before booking to describe any specific accommodations needed and we'll talk through the best games and setup for your group.
